Introduction

We are looking for a dedicated individual to join our team as a PMO to support the EPMO Team including: tracking status of programme deliverables and milestones; supporting the adoption of EPMO programme lifecycle and deliverables; programme level risk and issue coordination; monitoring the status of projects transitioning into BAU; coordination of the regular programme and project reporting; co-ordination of project Governance schedule, organisation of project requirement workshops. In addition, the PMO will provide project support by ensuring project plans and project documentation are complete and up-to-date, provide regular project status updates and contribute to the delivery of specific systems to meet identified business requirements. The PMO is also expected to assist the EPMO Director and Delivery Manager with updating and standardization of project management processes when required and assist Project Managers on projects and co-ordinating activities in support of the EPMO objectives.

Job Responsibilities

Governance & Control

  • Implementation of governance standards across the portfolio including tracking, monitoring and updating the status of Programme Milestones and Deliverables
  • Ensure that all new project managers within the EPMO are inducted in the right manner by ensuring that the set standards/existing ways of working are implemented consistently across all programmes/projects
  • Ensuring that there are clear Terms of Reference across all programmes / Project
  • Management of the programme Risk, Actions, Issues and Dependencies (RAID)
  • Carry out programme/ project assurance by ensuring that EPMO member utilize the embedded tools in place such as sharepoint, JIRA etc
  • Support Steering Committee governance meeting by ensuring that all necessary information are collated and circulated to all committee members ahead of the meeting.
  • Publish outcomes and decisions from the Steering Committee Meeting(s)

Planning, Reporting & Control

  • Organise workshops when required by project managers for requirements gathering and document actions from these workshops
  • Maintain the existing EPMO Centre of Excellence repository of project templates and continue to evolve throughout the project lifecycle
  • Prepare consolidated material from project reports for the Portfolio Review Forum
  • Complete the Portfolio Forum dashboard and inform the EPMO Director and Delivery manager about its readiness for publication.
  • Management of communications from the EPMO mailbox and scheduling EPMO meetings from this mailbox
  • Support EPMO member onboarding (access to EPMO Teams, access to JIRA etc)
  • Team meeting management – Scheduling of meetings with booking of meeting rooms and capturing notes and actions from this meeting

 

Working Hours: Sunday - Thursday (2:00pm-10:00pm)

Knowledge and Experience

  • Experience of establishing and maintaining portfolios of projects and programmes

  • Prefered 3+ years experience in a PMO / Portfolio Management role with a strong background in portfolio assurance, governance and methodology. 

  • Advanced stakeholder management skills

  • Risk management and planning management

  • Full lifecycle project mangement experience 

  • Demonstrable experience of setting up and running PMOs

  • Highly organised and detail-oriented with a proven ability to multi-task 

  • Experience of programme co-ordination/administration

  • Experience of managing small projects, or exposure to the end to end project lifecycle, or managing substantial parts of the project lifecycle

  • Experience of working within a structured project management framework

  • Knowledge of project management tools and techniques.

Education

Qualified in a relevant discipline including:
Portfolio Management; Programme Management or Project Management
